As a File Clerk, you play a pivotal role in maintaining an organized and efficient filing system for our organization. Your attention to detail and organizational skills contribute to the smooth operation of our office by ensuring that important documents are easily accessible and secure.
- Create and organize physical and digital files for various departments or projects.
- Sort and categorize documents, ensuring accurate labeling and indexing.
- File and retrieve documents promptly upon request.
- Perform routine checks to ensure files are up-to-date and properly maintained.
- Assist in purging and archiving files as needed, following retention policies.
- Manage and monitor access to sensitive documents, maintaining confidentiality.
- Assist colleagues in locating and retrieving files or documents.
- Maintain file room or storage areas in an orderly manner.
- Handle incoming and outgoing mail, distributing it to the appropriate recipients.
- Operate office equipment such as photocopiers, scanners, and shredders.
- Assist with data entry and record-keeping tasks as required.
- Follow office protocols and procedures for file management.
- Provide administrative support to various departments as needed.
- Report any issues or discrepancies to the supervisor.
- Adhere to security and privacy policies regarding confidential information.
- Grade 10 or similar
- Proven experience as a File Clerk or in a similar role is a plus.
- Strong organizational skills and attention to detail.
- Proficiency in basic computer applications and office equipment.
- Ability to maintain confidentiality and handle sensitive information.
- Effective communication and interpersonal skills.
- Physical stamina for lifting and moving boxes or files.
- Familiarity with office software and document management systems is a plus.
- Dependability and punctuality.
- This role may involve standing or sitting for extended periods and occasional lifting of boxes or files.
- Training will be provided to familiarize the File Clerk with specific filing systems and procedures.
- The File Clerk may collaborate with colleagues from various departments to ensure efficient document management.
